Setting Up Microsoft Authenticator for Office 365

Step-by-step instructions on configuring Multi-Factor Authentication (MFA) using the Microsoft Authenticator app on your smartphone.

Multi-Factor Authentication (MFA) adds an extra layer of security to your Office 365 account. This guide will walk you through downloading the Microsoft Authenticator app and linking it to your work account.

Step 1: Download the Authenticator App

First, download the official Microsoft Authenticator app on your mobile device.

  • For iPhone: Open the Apple App Store, search for “Microsoft Authenticator”, and tap Get.
  • For Android: Open the Google Play Store, search for “Microsoft Authenticator”, and tap Install.

Note: Look for the blue padlock icon in the logo to ensure it is the official Microsoft app.

Step 2: Initiate Setup on Your Computer

  1. Open a web browser on your computer and navigate to https://aka.ms/mfasetup.
  2. Sign in with your work email address and password.
  3. If prompted that “More information is required,” click Next.
  4. On the “Keep your account secure” screen, select Mobile app from the dropdown, and choose Receive notifications for verification.
  5. Click Set up. A popup window will appear showing a QR Code. Keep this on your screen.

Step 3: Add Your Account in the App

  1. Open the Microsoft Authenticator app on your phone.
  2. Tap the + (plus sign) icon in the top right corner (or tap Add account).
  3. Select Work or school account.
  4. Tap Scan a QR code. (If prompted, allow the app to access your phone’s camera).
  5. Point your phone’s camera at the QR code displayed on your computer screen. The app will automatically scan it and configure your account.

Step 4: Complete the Verification

  1. On your computer, click Next in the QR code popup.
  2. Microsoft will send a test notification to your phone.
  3. Tap Approve on your phone’s notification (you may need to enter your phone’s PIN or use FaceID/Fingerprint).
  4. On your computer, click Next then Finished to complete the setup.

Your work account is now secured with Microsoft Authenticator. Going forward, when signing in from a new device, you will receive a prompt on your phone to approve the sign-in.
